1. Who we are

This Privacy Notice explains how Swissimp ("we", "us") collects and uses personal data when you visit our website or use RoomCheck Pro (the "Service"). Swissimp is the data controller for personal data processed in connection with the Service.

2. Personal data we collect

  • Account data: name, email address, hotel/company name, phone number, password (hashed).
  • Customer Content: rooms, checklists, inspections, staff names and performance data you choose to record in the Service.
  • Support and communications: messages you send us, including via the demo request form.
  • Usage and device data: IP address, browser type, pages visited, timestamps, and similar telemetry.
  • Payment data: collected directly by our Merchant of Record, Paddle. We receive limited information such as transaction ID, plan, country and last four digits of the card.

3. How we use personal data

  • To create and manage your account and provide the Service (contract performance).
  • To process payments, invoicing and tax via Paddle (contract / legal obligation).
  • To respond to support enquiries and demo requests (legitimate interests / contract).
  • To secure the Service, prevent fraud and abuse (legitimate interests / legal obligation).
  • To improve the Service and develop new features (legitimate interests).
  • To send service-related and, where permitted, marketing communications (consent or legitimate interests; you can opt out at any time).

4. Who we share personal data with

  • Paddle.com Market Ltd — our Merchant of Record for the sale of the Service, subscription management, payments, tax compliance and invoicing.
  • Hosting and infrastructure providers that host our database, authentication and application servers.
  • Email and analytics providers used to deliver transactional emails and understand product usage.
  • Professional advisers (legal, accounting) where necessary.
  • Authorities where required by law.

We do not sell personal data.

5. International transfers

Some of our subprocessors are located outside Switzerland and the EEA. Where personal data is transferred internationally, we rely on appropriate safeguards such as the EU Standard Contractual Clauses and adequacy decisions.

6. Retention

We keep personal data only for as long as needed to provide the Service and meet legal obligations. Account data is deleted or anonymised within a reasonable period after account closure, except where longer retention is required (e.g. accounting records).

7. Your rights

Subject to applicable law (including the Swiss FADP and EU/UK GDPR), you have the right to access, rectify, erase, restrict and port your personal data, object to processing, and withdraw consent. You may also lodge a complaint with your local supervisory authority. To exercise your rights, contact us at support@swissimp.tech. We aim to respond within one month.

8. Security

We use appropriate technical and organisational measures to protect personal data, including encryption in transit, hashed passwords, access controls and regular reviews. No system is perfectly secure; please use a strong, unique password and notify us of any suspected compromise.

9. Cookies

We use cookies and similar technologies that are strictly necessary to operate the Service (e.g. authentication) and, with your consent where required, optional analytics cookies to understand usage. You can manage cookie preferences via your browser settings.
